1. Introduction

This Privacy Policy describes how Annie Bot ("Annie", "we", "us", or "our") collects, uses, and stores information when you use our Discord bot. By using Annie, you agree to the data practices described in this policy.

Annie is a Discord bot providing economy, music, moderation, social, and gaming features to Discord servers.

2. Information We Collect

2.1 Automatically Collected Data

When you interact with Annie, we may automatically collect:

  • Discord User ID — a unique identifier assigned by Discord
  • Discord Username and discriminator
  • Guild (server) IDs and names where Annie is present
  • Command usage and interaction timestamps

2.2 User-Generated Data

Through your use of Annie's features, we collect and store:

  • Economy data — your aura balance, inventory, bank balance, portfolio, and in-bot transaction history
  • Music/listening history — songs played, queue history, and Last.fm linked account data
  • Social data — marriage, family tree, relationship records, and profile bios
  • Moderation records — warnings, mutes, bans, and case history within servers you belong to
  • DM message content — messages sent to other users through Annie's /dm command are logged including the sender ID, recipient ID, message text, and server name
  • Game data — Valorant linked accounts, anime collection, Pokémon catches, and game statistics
  • AFK status, cooldown data, and reminder messages you set

3. How We Use Your Data

We use collected data solely to:

  • Provide and operate Annie's features and commands
  • Maintain economy balances, inventories, and leaderboards
  • Enforce cooldowns and prevent abuse
  • Enable social and gaming features between users
  • Log DMs sent through the bot for safety and abuse prevention purposes
  • Maintain moderation case records for server administrators

We do not sell, trade, or share your data with third parties for advertising or commercial purposes.

4. Data Storage & Security

Your data is stored in a cloud-hosted MongoDB database. We implement reasonable technical safeguards to protect your data, including access controls and encrypted connections.

However, no system is completely secure. We cannot guarantee the absolute security of your data and are not liable for unauthorized access caused by circumstances beyond our reasonable control.

5. Data Retention

We retain your data for as long as Annie is active in a server you belong to, or until you request deletion. Data may be kept for a reasonable period after Annie is removed from a server for record-keeping and moderation continuity.

6. Your Rights & Data Deletion

You may request deletion of your personal data by contacting us through Annie's official support server. Upon a verified request, we will delete your user record from our database within a reasonable timeframe.

Please note that some data (such as moderation records) may be retained at the request of server administrators for legitimate moderation purposes.

6.1 GDPR and Data Subject Rights

If you are located in the European Union or other jurisdictions with similar data protection laws, you have the following additional rights:

  • Right to Access — You have the right to request and obtain a copy of your personal data held by us.
  • Right to Rectification — You can request correction of inaccurate or incomplete data.
  • Right to Erasure — You can request deletion of your data, subject to our operational requirements.
  • Right to Restrict Processing — You can request that we limit how we use your data.
  • Right to Data Portability — You can request your data in a structured, commonly-used format.
  • Right to Object — You can object to certain uses of your data.
  • Right to Withdraw Consent — If processing is based on your consent, you can withdraw it at any time.

To exercise any of these rights, contact us through our official support server. Requests will be processed within 30 days or as required by applicable law.

7. Children's Privacy

Annie is not directed at children under the age of 13. We do not knowingly collect data from children under 13. If you believe a child under 13 has provided us data, please contact us immediately.

Use of Annie is subject to Discord's Terms of Service, which requires users to be at least 13 years old.

9. Privileged Gateway Intents

Annie uses Discord's Privileged Gateway Intents to power specific features. These intents allow Annie to receive certain categories of data from Discord. The following privileged intents are enabled and their purposes are described below:

  • Message Content Intent — Required to read message content for prefix commands (e.g. -help), automod image scanning, autoresponders, snipe/edit-snipe logging, AFK detection, sticky messages, and the Pokémon catch system. Message content is processed in real time and is not stored beyond what is described in Section 2.
  • Server Members Intent — Required to receive member join and leave events, which power welcome/greet messages, auto-role assignment on join, moderation logging, activity tracking, boost listener events, and regular member checks. Member data is used only for the features described in this policy and is not stored beyond what is necessary.
  • Presence Intent — Required to track game and Spotify listening activity for Annie's activity leaderboard and session tracking features. Presence data (game name, Spotify track and artist) is recorded to the activity database as described in Section 2. Presence data is not shared with third parties.

12. Cookies & Tracking Technologies

Annie does not directly store cookies. However, our website and dashboard may use session cookies for authentication and functionality. These cookies are essential to providing service and do not track you across third-party websites.

You can disable cookies in your browser settings, though this may impact functionality of our web dashboard.

13. International Data Transfers

Annie's infrastructure is hosted on servers located globally, including outside the EU. By using Annie, you consent to the transfer of your data internationally. We implement appropriate safeguards to ensure your data is protected regardless of location, in compliance with applicable data protection laws.

Where required by law (such as GDPR), we rely on Standard Contractual Clauses and other approved mechanisms for lawful international data transfers.

For EU users and those subject to similar regulations, a Data Processing Addendum (DPA) is available upon request. This DPA outlines our obligations as a data processor and ensures compliance with GDPR Article 28 requirements.

15. Data Breach Notification

In the event of a confirmed data breach affecting your personal data, we will notify you and relevant authorities as required by law within the timeframes specified by applicable regulations (typically 72 hours for GDPR-covered breaches).

Notifications will be sent via Discord DM and may include details about the breach, affected data, and recommended protective measures.

16. California Consumer Privacy Act (CCPA)

If you are a California resident, you have specific rights under the CCPA:

  • Right to know what personal information is collected, used, shared, and sold
  • Right to delete personal information collected from you
  • Right to opt-out of the sharing or selling of your personal information
  • Right to non-discrimination for exercising your CCPA rights

Annie does not sell personal information. To exercise your CCPA rights, submit a request through our support server.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Significant changes will be announced in our support server. Continued use of Annie after changes are posted constitutes acceptance of the updated policy.
